How we handle your personal data

When you engage in the following activities, you consent to us collecting and processing your personal data. Below is a summary of how we manage the information you provide. All data is used solely for its intended purpose.

When you apply for a job with us

We retain your application for 24 months to accommodate the right to appeal a recruitment decision. After this period, it is permanently deleted from our systems.

Submitting a tender for a procurement

Once the procurement process is complete, all tenders are either deleted or anonymised.

Applying for grants or government funding

When you apply for a grant, you consent to us publishing information about the awarded grant, including project details and the names of applicants or participants, as part of the decision process.

Registering for a course via email or online form

By completing our registration form, you consent to us processing your data to organise the specified course and to ensure your needs are met, such as dietary requirements for allergies. After the course is completed, we retain the participant list to reissue course certificates upon request if they are lost. Other information, such as dietary details, is deleted.

Registering for a conference or seminar via email or online form

By completing our registration form, you consent to us processing your data to organise the specified event and to ensure your needs are met, such as dietary requirements for allergies. After the event, we retain your email address to inform you of similar future events. Other information is deleted.

Subscribing to our newsletter

We retain your email address when you subscribe to our newsletter. This information is used solely for sending out the newsletter. You can unsubscribe at any time, after which your data will be removed from our mailing list.

Ordering laboratory services from the soil or environmental laboratory

Your data, linked to the tests performed, is stored in the laboratory database for 10 years, as required by regulatory obligations. After this period, the data is either deleted or anonymised.

Providing feedback on website content and features

When you provide feedback on our website, your responses are completely anonymous.

Your rights regarding personal data

You have the right to know what personal data we hold about you. This can be requested through a data access request. If you do not wish for us to process your data, want to correct it, or believe that we are handling it inappropriately, you have the right to have your data amended or deleted.

This right applies as long as we are not legally required to retain the data.
